Reserving:
1. To rent the Park Trace Clubhouse, you must be a member of Park Trace Swim and Tennis
Club (“PTSTC”) and Trace Crossings Residential Association (“TCRA”) in good
standing, and you must be present for the entire length of the function.
2. Failure to comply with PTSTC rental rules will result in full loss of your rental deposit, as well as possible forfeiture of future rental ability.
3. Complete payment of the rental fee and deposit must be paid within 10 days of the rental confirmation. The total payment includes the rental fee of $125/time slot (6 hours) plus
the $200 refundable damage deposit. After the event, the deposit will be voided and shredded if all rules and cleaning guidelines were followed, and no damage is observed.
4. CANCELLATION POLICY: for a full refund, cancellations must be made 10 days in
advance of the scheduled reservation. Cancellations made less than 10 days prior to the
scheduled event will result in loss of rental fee. Rentals confirmed 10 days or less prior to the event time are not eligible for a refund of the rental fee.
5. The clubhouse may only be rented 1 time per day. The rental period is good for a 6 hour span between the hours of 8 AM and 10 PM with the exception of the peak usage period.
Memorial Day weekend through the weekend after July 4th, Saturday or Sunday rentals are only available for an 8 AM to 2 PM time slot and the pool may not be used.
6. There is a maximum party size of 50 people for events using only the clubhouse. Events utilizing the pool are limited to a maximum party size of 25 people.
7. The pool cannot be reserved, but it may be used during the normal pool season* outside of the weekend peak usage blackout period**. Pool hours are 8 AM to 10 PM.
Maximum party size is 25 people when using the pool. *Normal pool season is mid April - mid September. **The pool may not be used for rentals that occur on
Saturday or Sunday during the peak usage period from Memorial Day weekend through the weekend after July 4th.
8. The rental fee reserves only the interior of the clubhouse for your event. Exterior lounge and dining spaces, as well as the pool, can still be accessed by club members during your
event.
9. The clubhouse cannot be reserved for holidays. Holidays include New Year’s Eve,
Memorial Day, 4th of July, & Labor Day
Usage:
1. No smoking is allowed in the clubhouse or anywhere on club property.
2. The clubhouse shall be vacated at the end of the scheduled rental period. The pool and pool deck close at 10 PM.
3. No music outside the clubhouse.
4. No decorations are to be attached to the walls or ceiling.
5. No glass containers are allowed outside the clubhouse or on the pool deck.
6. No animals are allowed inside the clubhouse or on the pool deck.
7. The clubhouse should be cleaned, all lights turned off, and all doors closed and locked upon leaving.
8. A cleanup checklist can be found on the side of the refrigerator in the clubhouse. Trash
must be removed and placed in the dumpster outside. Please do not leave event trash in the cans on the pool deck. Nothing should be left in the refrigerator.
9. Return a/c to 78° or heat to 62°.
10. Before leaving, please check the closing checklist posted on the refrigerator.
11. The furniture is not to be moved or rearranged.
12. Remove all trash and place in the dumpster. DO NOT put trash in the cans around the pool.
13. Access to the clubhouse begins at the beginning of your scheduled rental time and concludes at the end of your rental time.
14. Surveillance cameras are in use at the clubhouse for your safety. By renting the facility, you agree to be monitored by video surveillance.
15. Renter agrees to be responsible for obtaining any licenses pertaining to works of
authorship as defined by the Copyright Act of 1976, including, but not limited to, musical
works; dramatic works; pictorial, graphic, and sculptural works; motion pictures and
other audiovisual works; and sound recordings. By renting the clubhouse, renter agrees to hold the Association (TCRA), PTSTC and its executive board, as well as Selective
Management Services, LLC (SMS) harmless from all claims, including, but not limited to cease and desist letters, demands for payments and alleged violations of applicable law.
any VIOLATION OF THESE RULES, POOL RULES, OR THE RENTAL AGREEMENT WILL RESULT IN THE ENTIRE LOSS OF THE DEPOSIT.
